Position Summary
Hypervolt is seeking an exceptional
Personal Assistant (PA) to the Chief Executive Officer, providing comprehensive executive and personal support. The successful candidate will act as an operational extension of the CEO, managing time, communication, logistics, and events with precision, discretion, and professional excellence.
Hypervolt is entering a new phase of
international expansion, with a strong focus on the
United States market. This growth will necessitate the CEO's frequent travel and engagement with partners, customers, and stakeholders across multiple time zones. The PA will play a pivotal role in managing this increased logistical complexity and ensuring that the CEO’s schedule, travel, and priorities remain flawlessly coordinated.
This position exists
solely to support the Chief Executive Officer. The PA’s responsibilities and priorities are aligned entirely with the CEO’s schedule, objectives, and requirements. While the role will involve coordination with other teams where relevant, its remit is to serve the CEO only.
The position is based primarily at
Hypervolt Headquarters, Canary Wharf, London, with a requirement to be physically present
three to four days per week to ensure close coordination with the CEO and the executive office.
Key Responsibilities
Executive Scheduling and Coordination
- Manage and maintain the CEO’s calendar to ensure optimal time allocation for strategic, operational, and creative work.
- Coordinate internal and external meetings, ensuring agendas, materials, and participants are fully prepared.
- Serve as the primary point of contact for all scheduling requests and communications directed to the CEO.
- Maintain situational awareness of company priorities to make informed scheduling and communication decisions.
Travel and Logistics
- Plan and manage all domestic and international travel, including flights, ground transport, accommodation, itineraries, and visa arrangements.
- Ensure seamless logistics for the CEO while travelling, including coordination of remote meetings.
- Hold a valid driver’s licence and be prepared to drive the CEO to meetings and events when required.
Event Planning and Coordination
- Support the CEO and Executive Team in organising company events, board meetings, off-sites, and leadership gatherings.
- Coordinate venues, logistics, guest arrangements, and internal communications to the highest professional standard.
Office and Administrative Support
- Manage correspondence, documentation, and expense submissions for the CEO.
- Liaise with vendors, landlords, and office service providers to ensure smooth daily operations.
- Uphold strict confidentiality when handling sensitive business or personal information.
Representation and Communication
- Act as a professional interface between the CEO and internal and external stakeholders.
- Prepare and proof correspondence, meeting notes, and follow-up actions.
- Anticipate the CEO’s needs and proactively identify issues or opportunities before they arise.
Qualifications And Experience
- Extensive experience as a Personal or Executive Assistant to a C-suite executive, founder, or senior leader in a fast-paced environment.
- Demonstrated ability to manage complex calendars, travel, and logistics across multiple time zones.
- Excellent written and verbal communication skills, with exceptional attention to detail.
- Proficiency with the Apple ecosystem (Calendar, Mail, Keynote, Numbers, Pages) and modern productivity platforms.
- Proven reliability, discretion, and loyalty when handling confidential information.
- Full, clean UK driving licence.
