Summary

Working with the senior leadership of the Department to support the Water strategy implementation and translate it into operational efficiency.
Working with shared services (e.g. Finance, HR (especially travel), Procurement, Legal) to ensure the needs of the department are met and delivered in a timely manner;

Key Accountabilities And Responsibilities

Work with the Chief of Staff to develop the operating strategy for the department and work with corporate shared services (such as HR (especially Travel), Finance, Procurement, IT, Marketing) to ensure that the department has adequate and suitable resources to deliver its objectives and that all areas are aligned to the strategy;
Support the Sector Head with any diary and travel requirements as needed;
Develop and manage relationships with external vendors, suppliers and service providers and provide contract management and administration services to the Sector;
Ensure that all corporate policies, communications, education and training are cascaded down through the department as necessary.
Manage and co-ordinate capacity building, professional learning, team building, project and business management systems, etc.;
Manage the administrative staff across the Department;
Develop and implement dashboards and reporting for the department, so the leadership can use data and analytics effectively in decision-making;
Be a point of contact for other Departments/Sectors and various international stakeholders needing to work with the Department
Recommend and implement continuous improvements to processes, procedures and systems and ensure proper internal controls, policies and operating procedures are in place across the department;
Support all the functions of the department and manage any change in line with evolving strategy;
Represent the department at internal and external meetings and to other areas of the business;

Background, Skills & Qualifications

8+ years of professional experience in an international context
Extensive experience in Administration Management in reputable companies
Working knowledge of SAP functions
Previous professional experience leading teams of Administration professionals
Previous professional experience liaising senior level Executives
Fluent in English
5-10 years of experience working in an executive/C-level environment
Must have ability to maintain a positive attitude in a challenging environment
Ability to act as a gatekeeper and escalate relevant information to Executives as needed
Strong interpersonal skills
Ability to treat confidential information with appropriate discretion
Exceptional attention to details
Provide coverage to other Executive support staff as needed
