Summary
To provide administrative and project support to the city management team and the wider Oxagon business unit. This role is pivotal to ensure that all processes, project timelines and deadlines are adhered to.
The Project & Administration Support Manager will be responsible for providing project management, administrative, and strategic support for the City Management Team. Reporting directly to the City Director and taking on wider responsibilities from the growing management team as the structure unfolds. The role holder will also assist in scheduling interviews, writing job specifications, providing administrative support and managing project timelines and deadlines, liaising with internal and external stakeholders, and report back to senior management.
Responsibilities
- Assist the City Director in documenting and implementing project plans and strategies.
- Conduct research and analysis to support the development of project plans.
- Create project management frameworks and standard operating procedures in line with the department’s requirements.
- Support the project team in identifying and managing project risks and issues.
- Oversee the project lifecycle, ensuring it is delivered on time, within budget, and to the required standard.
- Monitor project progress and provide regular updates to the City Director and other senior stakeholders.
- Support the project team in the delivery of project tasks and milestones.
- Ensure project documentation is maintained and up to date.
- Liaise with internal and external stakeholders across departments and the wider business unit as required.
- Manage project budgets and expenses.
- Organise and schedule project meetings and events.
- Ensure project communications are effective and timely.
- Develop and maintain project-related reports, documents, and databases.
- Provide ongoing administrative support to the city management team and the wide business unit where required.
- As the focal point for liaising with NEOM Procurement, the role holder will be responsible for ensuring all procurement documents such as awards, RFPs, PRs, and release orders comply with company policies.
- Additionally, the role holder will be responsible for managing effective time management practices for the department.
Qualifications
- Bachelor’s degree in business administration, Project Management, or related field.
- Project management certification, such as PMP or PRINCE2, is desirable.
- Relevant experience within an administrative and project management lead setting
- At least five years of experience in a similar role, preferably in real estate or construction.
- Proven project management and planning experience.
- Strong organisational, analytical, and problem-solving skills.
- Excellent communication and stakeholder management skills.
- Ability to work effectively under pressure and meet tight deadlines.
- Proficiency in project management tools such as MS Project or similar.
