***Clarification on SMP Contract: It is Supplementary Manpower service contract job in which prospective applicants are interviewed and salary determined by NEOM interview panel; and being employed under the payroll of SMP Contract (SMP Vendor). Successfully mobilized candidates would be under the visa sponsorship of SMP Vendor Company/Contract.
ROLE OVERVIEW : Work within the PMO organization, liaising with Proponent, Projects team members, and other stakeholders as required. Key responsibilities include but are not limited to managing and ensuring that all Trojena documents are accurate, quality-assured, and comprehensive. This role is crucial in maintaining the smooth operation and success of the Proponent function.
Key Accountabilities & Activities :
Governance
- Comply with Neom Document Management Framework
- Create Document Management work instructions, procedures and templates for future use.
- Conform to company enforced specifications and document control procedures.
Identification
- Record document identification details , log all incoming and Outgoing document flows.
- Maintain all Document Control Registers, Logs and Systems & Structures.
- Maintain the Distribution Matrix for the Proponent Clusters and Functions.
Auditing /Verification
- Ensure all documentation meets Document Management standards
- Communicate and liaise with the teams to ensure document quality
- Manage data with an audit trail approach and comply with ISO standards.
- Provide support for External audits
Document Control Change /Lifecycle Control
- Check the revised document to ensure changes were made correctly and that the document meets all requirements.
- Communicating the changes to all relevant parties and updating document repositories.
- Tracking and managing document versions to maintain a history of revisions
Status accounting /Reporting-
- Prepare DC status reports as required
- Ensure Aconex Report functionality is maximized
System Integrity and Security Control
- Manage and maintain all controlled Trojena Proponent documents on the NEOM CDE
- Make sure all team members have access to necessary documentation
- Access Control: Ensuring that only authorized personnel can access sensitive documents
Training and mentoring –
- Provide support & assist teams in document control processes and systems.
Additional Tasks –
- Ad hoc tasks in line with role and to support the PMO requirements.
Knowledge, Skills and Experience :
- Knowledge of Electronic Document Management Systems (EDMS).
- Systems experience in ACONEX, SHAREPOINT & DOCUSIGN.
- Proven work experience as a Document Controller or similar role for 5 + years
- Familiarity with Quality ISO 9001 standards
- Familiarity with Project management principles
- Hands-on experience with MS Office.
- Data organization skills.
- Attention to detail.
- Strong communication skills to interact with team members and clients.
Qualification :
- Bachelor’s degree in Technical or Business Administration, Information Science or a comparable field preferred.
- Minimum of 5 years of Project Document Management experience.
- In-depth experience with Document Management processes, systems and practices is essential.
